Freed Associates

Electronic Health Records

We’ll help you get your EHR implemented, but more importantly, we’ll show you how to unlock the value from your investment.

Freed has been implementing Electronic Health Records (EHR) for more than a decade in acute care, outpatient, and subspecialty settings. We understand that systems and processes must work together symbiotically to achieve successful outcomes. There is likely no greater impact on an organization than leveraging technology to improve the care delivery process and modify how providers practice medicine. EHR and related systems are complex and costly initiatives that our consultants adeptly navigate alongside our clients to ensure success.

Our EHR service offerings for Hospitals, Physician Practices, and Affiliates EHR programs include:

Strategic Planning and Program Development

EHR Programs vary widely across organizations and should be designed with careful consideration for each organization’s strategic goals and culture. Freed Associates can be engaged to:

  • Assess the EHR market landscape, including analyzing provider interest and adoption, competitor programs and strategies, and opportunities for partnerships and integration
  • Gather and understand organizational requirements, priorities, and interests of various internal and external stakeholders around an EHR Program
  • Design an EHR Program that meets organizational goals and promotes education and program acceptance
  • Develop detailed plans and supporting documentation required to launch an EHR Program, such as budgets, staffing models, communication plans, policies and procedures, contracts, and project plans
  • Provide advice, education, and expertise on EHR market trends, regulations, and government programs

EHR Deployment

Studies have shown that the perceived success of an EHR implementation is often dependent on the leadership and process under which the change occurs. Freed Associates has worked with more than 500 providers in their adoption of EHR technology and is skilled in managing change. Freed Associates offers the full spectrum of EHR implementation services:

  • Provide project and program management services including full oversight of EHR program and deployment teams
  • Create implementation toolkits with standard plans and processes to enable efficient and repeatable deployments
  • Conduct current and future state workflow assessments and facilitate process re-design
  • Lead and support system design, build, testing, training, and go-live efforts
  • Manage third party vendor relationships and the issue management process
  • Lead data integration efforts, such as interface development and establishment of a Health Information Exchange (HIE)
  • Create and execute data migration plans including facilitating electronic conversions, developing abstraction and scanning approaches, and plans for down-time
  • Facilitate provider outreach activities such as creating marketing communications, leading information sessions, conducting software demonstrations, and tracking metrics and tasks surrounding provider education and adoption

Solution Optimization & User Adoption

Post implementation projects are critical to realizing the full value of an EHR investment. This represents a growing area of work as organizations strive to obtain additional benefits and functionality. Freed Associates’ extensive EHR experience gives us the ability to:

  • Conduct post go-live assessments to discover opportunities for improvement, ensure standards are being followed, and identify gaps in requirements and functionality
  • Lead change management efforts to optimize the application, related workflows, or the user experience
  • Develop and implement clinician adoption plans for non-adopters or under-adopters
  • Collect and analyze data to support system optimization and other organizational initiatives such as quality and standards of care, patient satisfaction, or cost containment
  • Manage system upgrade activities including planning, testing, training, and go-live support

Meaningful Use Planning and Assessment

Under the HITECH Act of 2009, eligible health care professionals and hospitals that adopt certified EHR technology and meet defined measurements can qualify for incentive payments through the Medicare and Medicaid programs. Freed assists clients in this endeavor through the following services:

  • Evaluate current systems, data, and workflows against meaningful use criteria to identify gaps and areas for improvement
  • Develop detailed road maps for meeting measurements and successfully obtaining incentive payments
  • Partner with organizations to implement changes, such as new interfaces, reporting tools, or workflow policies, to enable providers to meet the government measures

Vendor Analysis and Selection Process

With so many options on the market, selecting an EHR vendor can be a daunting task. Having worked with a variety of vendors, including Allscripts, Cerner, eClinical Works, Epic, McKesson, NextGen, and Office Ally, Freed understands the importance of carefully aligning an organization’s goals, budget, and scope with the most suitable vendor. Freed can offer the following assistance:

  • Design presentation formats and evaluate vendors during software demonstrations and interviews
  • Provide expertise in negotiating and signing contracts with an EHR vendor
  • Provide ongoing vendor management services to ensure compliance with contracts and high levels of service
